Daily Use

From time to time you may wish to get a short report displaying only the amounts from the different payment methods used since last close-day.

  1.  Tap long onto the »Cash»-button. This will print you a very short list of the different payment methods used since last close-day. Useful before executing a close-day in »Z»-mode.
  2. Tap long onto the user-name. You will get the same information as above but only for this user. Useful if he closes the shift and somebody takes over the drawer.

The message »invalid input» is displayed if the last transaction could not be saved correctly in the database.

How to solve:

  1. Identify the receipt-number (transaction-ID) of the last transaction. F.ex. by using the log-screen (top right of main screen) or bay having a look into the reports-section, module »Sales»
  2. Tap long onto the »Refund»-Button on main screen.
  3. You will be asked for the transaction-ID of the transaction to delete. Enter here the previously identified receipt-number.
  4. After confirming, this transaction will be deleted and everything should work again.
  5. Do not forget re-registering the transaction you deleted in step 3/4

There is one exception, where the above steps do not solve the problem: If this happens right after a close-day (you maybe will notice it only next morning!), then the procedure above will not help. Please contact us immediately using our CONTACT-FORM if this happens to you. Do NOT delete the application and do NOT try reinstalling it unless we tell you! You could loose all your data and settings!

  1. Create a category »Vouchers». Tick the little box «Voucher (no sale / no tax)» at the bottom of the dialog
  2. Create one or more products f.ex. »Voucher-20» assigned to the category you created before
  3. Inside »Manage Cashy > Settings > Payments» create a manually a new payment method called »Voucher»

If a customer now wants to buy a voucher from you, use the product you created in step 2. The sale of the voucher will appear in your sales reports additionally to the normal shop sale you did. There is no VAT calculated onto the sales from the »Vouchers»-category.

If the customer returns and buys some items from your shop which he likes to pay with the voucher he owns, then use the payment method voucher you created in step 3.If the amount due is higher then the value of the voucher your customer presents, then the remaining amount will be shown in the transaction screen (top left of main screen) and you can close the transaction using one of the other payment methods you defined.

If the amount due is less then the value of the voucher presented, then Cashy-POS will close the transaction and displays you how much you should return in cash to the customer.

To find out how much cash should be in the drawer, use the function »Cash flow» on main screen which will display a pop-up window with all necessary data.

Have a look into the help section to get more information about the «Cash Flow»-function inside Cashy-POS. You will find an example in section 3 under this LINK

  1. Register the returned item normally as you did when selling it
  2. Swipe horizontally over the previously registered item in the transaction screen (top left of the main screen)
  3. A menu will become visible. Choose »Invert». Inverting means that »1 x Jeans  >  90.00» will become »-1 x Jeans  >  -90.00»
  4. Now register normally the new item the customer has choosen as replacement

Closing the transaction now, Cashy-POS will show you the difference in prices (if any) of the two items in the transaction. If the replaced item is cheaper then the new one, it will display you the amount the customer should pay additionally. If it is more expensive, it will display the amount you should return to the customer

You taped the »Return»-Button and entered into cancel-mode. Now each item you add to that transaction will be treated as a negative sale or cancellation. Normally, when closing this transaction using any payment method, Cashy-POS will return to normal registering mode.

If for any reason you want to quit cancel-mode, just tap once onto the red title saying »Cancel mode» on top of the transaction-screen (top left of main screen). The title will disappear and you are back to normal registering mode

  1. Switch to the user to which the cancellation should apply
  2. Tap the button »Refund» shortly
  3. You will be asked for the password of a user having the permission to cancel items
  4. After entering the password, you are now in cancel-mode indicated by a red title above the transaction-screen
  5. Now register the item to cancel normally
  6. As soon as you close the transaction by one of the available payment methods, Cashy-POS will return into normal registering mode
  7. A receipt will be printed. It contains the title »CANCELLATION»

Sometime you wish to cancel a whole transaction with several items inside. To do so, identify the receipt-number (transaction-ID) of the transaction you wish to cancel and tap longer onto the »Refund»-Button. You will be asked for the transaction-ID and the whole transaction will be reverted.

There are two ways:

  1. In »Manage Cashy > Settings > Extra» you find an option »Show button ‹Open drawer on main screen»
  2. If you wish it more discrete, you can let the option mentioned above deactivated. Taping the »00»-button on the numerical keyboard followed by any category-button will have the same effect and sends the open-impulse to the drawer

Using one of this two methods will a) print a short receipt and it will be mentioned in the log

You probably activated the barcode scanner inside »Manage Cashy > Settings > Printer/Scanner›. The virtual keyboard appears if the scanner is not connected.

Turn off barcode scanning if you not use a barcode scanner

Under »Manage Cashy > Settings > Printer/Scanner» you find the function »Receipt-Designer». Using the receipt-designer you can freely customize nearly all parts of the receipt.

You can define several receipt layouts and use them together. For example: It is possible designing a normal payment receipt and a second one showing only a part of the receipt number. Both receipts can be printed at the same time. One receipt for the customer stating for what he paid. The second receipt with only the number could be used to call the customer once his sausage or pizza, or … is finished and he can come to collect it.

The several layouts you created can be activated/deactivated. Take care that you have at least one layout activated!

 

In a close-day mail you will find a compressed (zip) filed named somehow »Backup_xxx.zip». you can extract the database from that zip-file and mail it as an attachment to the mail account configured on the iPad where Cashy-POS is installed.

Opening that mail-attachment will offer you the option to import the database into Cashy-POS. All previously existing data will be overwritten!

Instead of mailing the extracted database, you can also upload it into any cloud service like OwnCloud, NextCloud, or any file sharing service or FTP-server you can access from your iPad. After downloading the db-file you will get the »Copy in Cashy-POS» dialog to transfer the file.

If you are replacing the iPad by a new one, please first execute the four initial installation steps from Cashy-POS before trying the above methods.

Additionally we provide the application »Cashy-Backup» which can be installed on your iPhone and then can save a database from a running Cashy-POS instance in your WiFi-network. All databases saved inside Cashy-Backup (LINK) can also be restored to Cashy-POS.

 

 

General Questions

The free version (Cashy-POS Lite) was developed to allow you to test this iPad app in depth before (hopefully) deciding to buy the full version.

Cashy-POS Lite is NOT limited in time and will get the same updates as the full version. Both versions have the same functions and capabilities, except the pre-set VAT rates in the (free) Lite version.

All compatible hardware (receipt-printers, drawers, payment-devices, etc). will work in the Lite-version too.

The development of the Cashy-POS cash register for iPad took several men-years and there is a lot of know-how in this iPad app. Also we will continue to develop the functionality of this app and as a user of the full-version you will benefit from future updates with exciting features.
Compared to other cash-register software it is a one-time investment. Have a look to our competitors and you will see, that similar products are asking a monthly / yearly subscription.

No, this iPad cash register does not need any internet-connection in your shop.

Only some functions require an internet connection:

  • exporting generated sales reports
  • emailing close-day-reports
  • processing credit cards
  • back-up data-base on FTP server

We highly recommend executing and mailing a close-day from time to time. Even if your shop has no internet connection, the created close-day-mail will remain in your out-box until the iPad gets a connection. You can f.ex. take it home from where it then will send the reports.

This close-reports also contain a compressed and by default password protected copy of your database which hosts all your settings and sales data. Therefore it serves as a backup. With this file you can fully restore a Cashy-POS installation in case you need it.

You use the free Lite version of Cashy-POS.

The only restriction of the free Lite-version is that you can not adjust the VAT-rates to country specific values. All other functions are the same as in the full (paid) version.

We developed the Lite-Version in order to allow future customer testing the application in depth before they (hopefully) decide buying the full version. It is highly recommended to fist «play» with this version. This allows you to find out if it fits your needs. In case something is not clear, do not hesitate contacting our support team!

You can provide to the cash-register the information that the transaction was paid by credit-card using one of the self assigned payment-buttons, but you must treat the credit-card processing separately. The payment buttons can be defined under »Manage Cashy > Settings > Payment». A maximum of 6 payment methods are allowed.

No, there are no other fees !

You pay once and use for the rest of your life. Although the app price may increase, once you bought Cashy-POS, you will benefit out of any charge for all updates, improvements and future developments of this app.

It is possible, that in the future we will ask an additional fee for very special features or services like express support, call back, storage space for backups, etc.

Yes, we can do that for you. Let us know and we will provide you an Excel or Numbers sheet were to list your products. It will contain detailed information about the needed data and formats.

After you filled that sheet, we import it into your database. Depending of the product-list size, this service will not be free!

Our main business is textile trading and not a software development. We created Cashy-POS in 2011 mainly for our own shop because we did not found any easy to use application fitting our needs.
Due to the positive reaction of our customers as well as from our employees, we decided offering this application to any retail shop in the world.

Because Cashy-POS is not our main business and because we offer this application to a very competitive one-time price, we can not provide any phone support. This would require, that we employ additional staff, and because Cashy-POS is sold worldwide, providing a 24hrs service would be too expensive for us.

Basically, support is granted only by email. If it is required to solve a heavy problem faster or because we need many additional information, we usually call you back to avoid a long mail ping-pong. We normally will ask your phone number and a timespan to ensure your availability.

We check the mails several times per day until the late evening hours (CET+1). Even on week-ends! Normally all support requests are answered latest in 24 hours. Please feel free to stress us if you did not got a response after one day!

The time we need to answer your support requests depends of the following rules:

  • 1st priority: Vital problems during the productive use of Cashy-POS
  • 2nd priority: Questions to functions and installation of receipt printers or barcode scanners
  • 3rd priority: Pre-sales requests as well as compatibility questions or prices, etc.

2nd and 3rd priority questions will not be answered during the week-ends. We will take care of them on Monday morning.

Also important is the time-zone where you are located. We provide our services from Switzerland (CET+1). If you are f.ex. in Australia, then your support request will reach us normally in the middle of the night and therefore we need more time to respond.

We are interested in closing all issues as fast as possible! After sending any support request, please check your mail several times this day. It is possible that we may ask for more detailed information.

We built-in an undocumented function allowing a fast database import of the Lite version into the full version of this iPad cash register.

Both variants of Cashy-POS should have at least version 1.6.

All recent sales and settings will be take over into the full version.

Now you can completely configure all your products and settings in the Lite version and after buying the full version, transferring them in a snap.

Printer, Drawer, Scanner

Probably you forgot to activate that receipt in the receipt-designer. Activated receipts show the ON/OFF-symbol in their tab bar.

You can find the receipt designer function under »Manage Cashy > Settings > Printer/Scanner»

We recommend using a barcode scanner from SocketMobile (7series). For example the model 7xi. We tested it in depth and it works perfectly.

Normally all scanners compatible to iOS should work. We had best results with scanners offering HID-mode. But we can not guarantee it. One of the most important functions is, that the scanner has an option to show/hide the virtual keyboard of the iPad. This can be a dedicated button or sometimes this function is activated by pressing twice the scan button.

Under »Manage Cashy > Settings > Printer/Scanner» you find the function »Receipt-Designer». Using the receipt-designer you can freely customize nearly all parts of the receipt.

You can define several receipt layouts and use them together. For example: It is possible designing a normal payment receipt and a second one showing only a part of the receipt number. Both receipts can be printed at the same time. One receipt for the customer stating for what he paid. The second receipt with only the number could be used to call the customer once his sausage or pizza, or … is finished and he can come to collect it.

The several layouts you created can be activated/deactivated. Take care that you have at least one layout activated!

Please note that all above printers should have an integrated Ethernet interface. iPads can NOT use USB, Parallel or Serial interface !

We recommend connecting the printer by Ethernet wire to a WiFi-router (which does not need to have Internet ! ). The iPad then connects wirelessly onto the WiFi router and can reach the receipt-printer.

Most of the Bluetooth printers from Epson are also supported. As well as the Bluetooth printer-drawer combination »mPOP» from Star Micronics. A perfect solution where space is rare, e.g. food trucks, etc

We can not promise it, but Cashy-POS should work with every printer understanding the printer language ESC/POS and being connected to the iPad by LAN or WLAN-interface.

Backup & Restore
  1. During a »Close-Day» Cashy-POS offer the possibility to  mail you this close-day. Apart from some other reports, this mail will also have you database with all your data and settings attached. The database attached is in compressed (zip) format and by default password protected with your supervisor password.
    In order to use this option, you need a configured mail account in your iPad settings!
  2. Equally during »Close-Day» you can choose the option to upload your reports and the database onto an FTP-server. This could be an other computer in your network, a network storage device or even a space running on your domain hosting in the internet.
    In order to use this option, you will need to add the settings of the FTP-server under »Manage Cashy > Settings > Backup/Restore» in the FTP section. There you can save the user name, password and the name or address of the server
  3. Both methods 1) and 2) are greyed-out in the list of close-targets if they are not defined in the Ipad-settings (EMAIL) and/or in Cashy-Settings (FTP).
    – Under »Manage Cashy > Settings > Support» you can also initiate an outgoing mail with your database attached. Just take care replacing our support mail address by yours before sending it!
    – Under »Manage Cashy > Settings > Backup/Restore» you can initiate the upload of the database onto your FTP-server manually
  4. Additionally we offer the application «Cashy-Backup» in Apple’s AppStore. It can be installed for example onto an iPhone and then is able loading the database from a Cashy-POS installation in the same WiFi-network. It can handle several databases and is also capable to serve as a source to restore from.
    Backup and restore must be executed from within »Manage Cashy > Settings > Backup/Restore»
